- Compliance: Our charity actively invests in and adheres to relevant data protection regulations, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 (DPA). We maintain a robust framework to ensure compliance at scale.
- Safeguarding: We maintain comprehensive safeguarding policies to protect all individuals, especially vulnerable users, interacting with our platforms, regardless of the number of users.
- Trained Personnel: All our team members receive regular and thorough training in data security, privacy governance, and compliance best practices. This training is integral to our operational protocols for handling a large volume of user data.
2. The Data We Collect About You
We collect information to provide and continuously improve our services to you and our growing community. This may include:
- Account Information: When you register for an account, we collect personal details such as your name, email address, and chosen password.
- Subscription & Payment Information: Through MemberPress, we process subscription details. Payment transactions are handled securely by our integrated third-party payment gateways (e.g., Stripe, PayPal). We do not store your full payment card details on our servers.
- Usage Data: We collect information about how you interact with our platform, including course progress, quiz attempts, scores, time spent on content, and features accessed. This extensive data helps us understand user behavior across our large user base and continually improve the learning experience for everyone.
- Content Interaction Data (AI-Powered Features): If you utilize AI-powered features (like explanation clarification, concept identification, or note summarization), the text you input or selected for these features, and the AI’s responses, may be processed to deliver the service and for continuous improvement of our AI models. This processing is conducted with strict confidentiality controls and, where possible, in an aggregated and anonymized manner to protect individual privacy while enhancing the service for all users.
- Group Study Data (if applicable): For collaborative group study sessions, this may include:
- Audio/Video Streams: Processed in real-time for communication. We do not typically record these sessions unless explicitly opted into by all participants for specific features (e.g., AI transcription or summarization of a study session). Any such recordings would be clearly indicated and subject to specific consent and robust retention policies, ensuring privacy for all participants.
- Transcriptions & Summaries: If you use AI transcription/summarization, the audio from the session may be converted to text, and subsequently summarized by AI. These derived texts are stored securely.
- Shared Notes/Chat: Content shared within the group study environment.
- Technical Data: Information about your device and internet connection, including IP address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access our Site.
- Communications: Records of your correspondence with our customer support team or other charity representatives, which helps us provide effective support to our user community.

We also collect, use, and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

We do not transfer your personal data outside the UK or European Economic Area (EEA) as a matter of course. However, some of our external third-party service providers (e.g., cloud hosting providers like Google Cloud used by Kinsta, or certain payment processors) may process data outside the UK/EEA. Where this occurs, we ensure a similar degree of protection is afforded to your personal data by ensuring at least one of the following safeguards is implemented:

In addition, we limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.
We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

When your data is no longer required, we will securely delete or anonymize it, particularly important when managing data from a large number of users over time.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting, or other requirements.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it.
